How we collect, use, and protect your information across the LactoSync app and website.

LactoSync is a dairy farm management platform built and operated by Akshara Technologies ("LactoSync", "we", "us", or "our"). LactoSync helps dairy farm owners manage customers, delivery routes, billing, and milk production, and gives their customers and delivery staff dedicated app experiences.
This policy explains what personal data we collect from three categories of users — Farm Owners (who register and administer a dairy farm account), Delivery Staff (added by a Farm Owner to run delivery routes), and Customers (added by a Farm Owner as households receiving deliveries) — why we collect it, and what choices you have.
Farm Owners act as the data controller for the customer and delivery-staff records they add to their account (names, addresses, order history, etc.), since that data belongs to their business relationship with their own customers and staff. LactoSync acts as the data processor for that farm-level data, and as the data controller for account and platform-level data (login credentials, subscription/billing records, app usage).
When you subscribe to a paid LactoSync plan, we collect and process the information needed to raise GST-compliant tax invoices for our subscription fees, which may include:
Providing a GSTIN is optional if you are not GST-registered. If you do not provide a GSTIN, we may still charge applicable GST on the subscription and issue a tax invoice / bill of supply as required under Indian GST law, based on the billing details you share.
We record which payment mode was used (cash, UPI, bank transfer) and the amount/date of a payment, so that billing history stays accurate. We do not collect or store full card numbers, UPI PINs, or net-banking credentials — payments made online are processed directly by the relevant payment gateway or UPI app, which has its own privacy policy.
If you fill out the "Schedule a Demo" form on this website, we collect the name, phone number, email address, and any farm details you choose to provide, solely to respond to your enquiry.
We do not sell, rent, or trade personal data to third parties for their own marketing purposes. We do not use customer delivery data for advertising.
LactoSync subscription fees are exclusive of GST. Applicable GST (currently 18%) is charged in addition and shown on pricing pages and on every invoice. See our Pricing page and Terms of Service — Pricing & billing for current plan amounts.
We process personal data on the basis of: performance of the contract between a Farm Owner and their customers/staff (delivering the service they signed up for), our legitimate interest in operating and securing the platform, your consent where required (for example, WhatsApp notification opt-in), and compliance with applicable law — including India's Digital Personal Data Protection Act, 2023 ("DPDP Act"), and tax/GST laws that require us to issue invoices and retain financial records.
We share data only where necessary to operate the service:
Every third party we work with is contractually required to protect your data and use it only for the purpose we specify (except where a regulator or court requires disclosure).
We use industry-standard safeguards to protect your data, including encrypted connections (HTTPS/TLS) between the app and our servers, hashed storage of PINs and passwords, role-based access control so staff only see what their role requires, and daily automated backups. No system is 100% secure, and we encourage you to use a unique PIN and keep your device secure. If we become aware of a data breach affecting your personal data, we will notify affected users and relevant authorities as required by applicable law.
We retain account and operational data for as long as the farm account remains active, plus a reasonable period afterward to comply with tax, accounting, and legal obligations. GST tax invoices, credit notes, and related subscription billing records are typically retained for at least 7 years (or longer if required under the CGST / SGST / IGST Acts or other Indian statutory requirements), even after an account is closed. Other personal data is deleted or anonymized within a reasonable period after account closure, except where retention is required by law.

Customers and delivery staff whose data is added by a Farm Owner should first raise access or deletion requests with that Farm Owner, since they control the underlying business relationship. If you're unable to resolve it with them, contact us directly using the details below and we will assist.
LactoSync is intended for business use by adults (dairy farm owners, their staff, and adult customers). We do not knowingly collect personal data from children under 18. If you believe a child's data has been provided to us without appropriate consent, contact us and we will remove it.
This website uses minimal, functional cookies/local storage only — for example, to remember your form progress. We do not use third-party advertising or cross-site tracking cookies. Web fonts are loaded from Google Fonts, which may log basic request data (such as IP address) as part of standard web infrastructure.
Your data is primarily stored and processed on servers located in India. Where we use third-party services (such as Meta's WhatsApp Business Platform or Google Firebase) that process data outside India, we rely on those providers' standard data-protection safeguards.
Our website and app may contain links to third-party services (WhatsApp, payment gateways, app stores). We are not responsible for the privacy practices of those third parties — please review their own privacy policies.
We may update this policy from time to time to reflect changes in our practices or for legal reasons. We will update the "Last updated" date above, and for material changes, we will notify Farm Owners via the app or email. Continued use of LactoSync after a change means you accept the updated policy.
